The person in this position will be assigned and held accountable for various administrative and receptionist functions. He or she must be very organized and have the ability to prioritize tasks in order to complete in a timely manner. Additionally, this person must be a self-starter and able to accomplish assigned tasks with minimal supervision; take initiative to find tasks to take care of, work on multiple tasks simultaneously and be able to meet assigned deadlines, sometimes under stressful conditions. The person in this position must be responsible and respect confidential information that they may be exposed to.
Education, Experience and Qualifications:
An associate s degree from an accredited college concentrating in accounting/business or a minimum of 5 years hands-on experience in an accounting/office environment.
Proficiency in Microsoft Excel and Word.
Proficiency in operating various office machines, i.e. adding machine, calculator, copy machine and fax machine.
Experienced in dealing with people at all levels in a professional and courteous manner.
Excellent communication skills.
Works efficiently under stress.
Ability to handle customers and vendors in a tactful manner.
Administrative Assistant responsibilities may include but, are not limited to, maintaining schedule of meetings for project managers; contacting vendors for invoices monthly to assist project manager with billings; typing various items such as purchase orders, change orders, and proposals; preparing submittal data for project manager including assisting in preparing electric motor data sheets; preparing equipment release schedules and obtain lead times; assembling job book for filing purposes on commercial projects; following up on all paperwork as required; maintaining RFI s, Change Orders, Warranties, and Close Out Documents; assisting in bidding process as required and preparing and sending out billings as required.
Receptionist responsibilities may include, but are not limited to, answering the phone; maintaining an inventory of and ordering supplies; maintaining our company inventory book; maintaining the company vacation and main schedules; loading and maintaining office printers; cleaning and restocking the office refrigerator and kitchen area; taking out the trash in the kitchen, ladies room (as needed) and the print room and running various errands as needed.
Additional tasks will be assigned from time to time and this position will require flexibility in completing those assignments in a timely and efficient manner.
